Connecting QuickBooks Online lets Ask Jenny read your accounting data — your chart of accounts, expenses, deposits and monthly reports — so you can ask about your books in the same place you ask about your jobs.
QuickBooks is in beta. Your admins can connect it now; email support@upsmith.com and we'll switch on syncing for your account.
Before you begin, you'll need
A QuickBooks Online login that can authorize apps for the company you want to connect.
One company per UpSmith account. To switch companies, disconnect the current one first.
Connect it
Go to Integrations and find the QuickBooks Online tile under Accounting. Click Connect. The button reads "Opening QuickBooks..." while it sends you to Intuit.
Sign in to Intuit, pick your company, and allow UpSmith access.
You're sent back to Integrations and see "QuickBooks connected".
The connected card shows the company name, whether it's a sandbox or production company, the company ID, and when the current access expires. Access renews on its own.
What connecting actually gets you
Once syncing is on, these come in from QuickBooks:
Records: your chart of accounts and balances, vendors, customers, items, purchases, deposits, journal entries, transfers and bill payments.
Reports: Profit and Loss and Balance Sheet (cash and accrual), and Cash Flow, for this month and the two before it.
Changes sync about every 30 minutes.
Admins can then ask Jenny things like "What did we spend with each vendor last month?" or "Show me last quarter's P&L."
There is some data that Ask Jenny doesn't have access to yet (e.g. invoices, payments, bills). If you find Ask Jenny can't see the data you need to answer your questions let us know and we'll add those in.
Turning it off
Click Disconnect and confirm: "UpSmith will revoke its QuickBooks access. You can reconnect this company later." Then you'll see "QuickBooks disconnected".
Disconnecting cancels UpSmith's access with Intuit and stops syncing.
Troubleshooting
The badge says Needs attention: "Intuit access expired. Reconnect the same company to continue." Click Reconnect and sign in to the same company.
The badge says Disconnect pending: "Intuit access revocation is still pending." Intuit didn't confirm the disconnect. Click Retry Disconnect.
"Disconnect the existing QuickBooks company before connecting a different one." You picked a different company from the one already connected. Disconnect first, then connect the new one.
"State already used or expired" or "QuickBooks connection changed; start again." The sign-in took too long or was opened twice. Click Connect again.
"QuickBooks rejected the authorization." Intuit refused the sign-in — often because the login can't authorize apps for that company. Try a QuickBooks admin login.
Connected, but Jenny has no QuickBooks data. Syncing hasn't been switched on for your account yet. Email us.
There's no QuickBooks tile. Either it isn't available on your account yet or you aren't an admin.
