Recurring Reports — Create, Edit, and Hand Them Off

A recurring report is a report you set up once and then have delivered on a schedule — a Monday morning ops rollup, a daily lead summary, a monthly membership check. You build it by talking to Jenny, and after that you manage the schedule and who receives it from one screen.

You'll find them under Ask JennyChatsReports.

Two things to know first

  • You only see the reports you created. Recurring reports belong to the person who set them up. A teammate's report won't appear on your list, even if you're an admin on the account. — see Handing a report to someone else below.

  • The content is edited through Jenny, not in the Edit box. The Edit dialog covers the schedule and the recipients. What the report actually pulls and says is changed by asking Jenny. That's why there's no prompt field in Edit — there's a button that hands you back to the chat instead.

Create a recurring report

  1. Go to Ask JennyReports and click New recurring report. That opens a chat — there's no form to fill in.

  2. Tell Jenny what you want in plain language. The more specific, the better: "Every Monday at 7am, show me last week's booked jobs by business unit, total revenue, and anything the agents escalated that's still open."

  3. Jenny will build a draft and show it to you. Read it and say what's wrong — "add cancellations", "split that by technician", "drop the chart". Go around as many times as you need.

  4. When it looks right, tell Jenny to save it and schedule it. Give her the day, the time, your timezone, and who should get it.

It'll show up as a card on the Reports list, with the schedule underneath the name.

Change what the report says

Click Edit on the report card, then click Edit report contents in the blue banner at the top. That drops you into a chat about that specific report, and you can tell Jenny what to change.

Every edit saves as a new version, so nothing you had before is lost. If two people edit the same report at once, the second save is rejected rather than quietly overwriting the first — reload and try again.

Change the schedule, timezone, or recipients

Click Edit on the report card. From that dialog you can:

  • Turn scheduled delivery on or off — the Scheduled delivery toggle. Off means it stops sending but keeps everything else.

  • Switch between Daily and Weekly, and pick which days of the week.

  • Set the time and timezone. The time is when the report arrives; UpSmith starts pulling the data ahead of that so it's ready.

  • Add or remove recipients, and choose Email, SMS, or both for each one.

Then Save changes.

If your report runs monthly, annually, or on some other pattern, you'll see a note saying it uses an advanced schedule. The cadence is preserved and keeps working — you just can't change it from that dropdown. Ask Jenny to change the cadence, or email support@upsmith.com.

To pause a report without changing anything, use the switch on its card. To delete one, ask Jenny — there's no delete button on the card.

Getting it by text

Each recipient can get the report by email, by SMS, or both. Tap the SMS chip next to their name to turn texting on.

If the SMS chip is greyed out, that person has no phone number on their UpSmith account. Add it on their user record and the chip becomes available.

A couple of things about the texted version:

  • It's a short version with a link to the full report — a full ops rollup doesn't fit in a text.

  • The first text UpSmith ever sends to a number includes "Text STOP to opt out at any time." After that it doesn't repeat.

  • Anyone can stop their own texts by replying STOP, or by asking Jenny to unsubscribe them.

Handing a report to someone else

This is the question we get most, so here's the straight answer: you can't transfer a recurring report to another person yourself. Whoever created it stays the owner, and only the owner can edit its content, change its schedule, pause it, or delete it. Adding someone as a recipient does not give them any of that — they just receive it.

Three ways forward, depending on what you're after:

  • They just need to see it. Add them as a recipient and you're done.

  • They should own it going forward. Have them ask Jenny to build their own copy — it's quick, since you already know what the report should say — then delete yours.

  • You want it moved as-is. Email support@upsmith.com with the report name and who should own it. We can move it on our side.

Before someone leaves your company, sort out their reports. If their UpSmith account is deactivated while they still own recurring reports, those reports keep sending on schedule and nobody at your company can pause or change them. Email us and we'll reassign them.

Common questions

Why can't I see the prompt I'm supposed to be able to edit? Because report content isn't edited in a text box anymore — it's edited by talking to Jenny. Click Edit on the card, then Edit report contents in the blue banner. If you're looking at an older Recurring task instead of a Recurring report, the prompt is collapsed behind an Edit Prompt button in that dialog.

Can I transfer a report to a teammate? Not on your own — email support@upsmith.com and we'll move it. Adding them as a recipient lets them read it but not maintain it.

My colleague set up a report and I can't find it. That's expected — you only see your own. Ask them to add you as a recipient, or ask us to transfer it.

Can I get a report every hour? No. Daily is the shortest cadence. Weekly, monthly and annual all work.

Can it go to Slack? Not today — email and SMS only.

Can I send it to someone outside my company? No. Recipients have to be members of your UpSmith account. Use Invite new member in the Edit dialog to add them first, if you have permission to invite people.

Some of my recipients say "unavailable legacy recipient" and I can't edit the list. Someone on the list is no longer a member of your account. They'll keep getting it, but the list is locked until it's cleaned up — email support@upsmith.com and we'll sort it.

Why did my report arrive with data that stops before the delivery time? UpSmith starts pulling the numbers ahead of when the report is due, so it's assembled and ready to send on time. Give the schedule a bit of margin after the period you're reporting on.

I got a report I didn't ask for. Reply STOP if it came by text, or ask Jenny to unsubscribe you. You can also ask the person who owns the report to take you off it.
